February 2025 Repository Updates

The following best practices are provided to ensure college data is preserved during an update to WTCS aligned curriculum.

Best Practices for a Course Update

  1. Make sure all courses being updated are active on your WIDS site.  Do not update a course if it has a WIP or FUTURE revision.  Future revisions will be removed during the update.

  2. Select the effective date for your update carefully:

    1. If you have added college data to your course outcome summary (learning objectives, linked outcomes to competencies, textbooks, etc.) we recommend importing the course as FUTURE.  This will allow you to see both the active version of the course and the future version in Designer.  If WIDS missed copying something over, it will be easy to correct using copy/paste.

    2. If you bring in the course as future, do not use the Site/Manage Projects screen to change it to active or WIP.  You can adjust the future date—but you cannot change its status.  Doing so can result in data being hidden from your view.

    3. If you bring a course in as active, you can still see the previous version of your course on the Preview screen by using the status selector and viewing the last expired version.

  3. If the competency for a course has been edited on the Repository, WIDS sees that as a new competency and no college added data related to it will be preserved.  You can copy the data from a previous version.   Data that will not be copied include: college added learning objectives, criteria, assessment strategies, and linking to related outcomes.

  4. WIDS recommends making college updates and additions to the future version of aligned courses rather than making a WIP revision.
