This screen allows Site Administrators to view all projects and manage the project status from a central location.

  • Bypass the project-by-project approval system; approve multiple projects from a single screen

Key Features

  1. When you first open the tab, the page generates without a project list. Use one of the search features to find a project.

  2. Sort projects by clicking on column headers.

  3. Use the WIP Items and Pending Items columns to sort for projects with “incremental approval” items waiting for approval in a project. For example, if an active program adds a new program outcome, the program status remains ACTIVE, but the new program outcome is WIP until approved. This sort allows you to see projects with items that are either WIP or Pending Approval. (You cannot approve them from this screen. You must return to the project to approve them.)

  4. Delete WIP projects by clicking Delete at the end of the grid row.  Note that deleted projects are removed entirely from your WIDS database. They cannot be reactivated. This is different from “expired” projects which can be reactivated.

  5. Copy a project by clicking Copy.  This makes a clone of the project.  

Change Project Status

  1. Use search to locate the desired project.

  2. Click Edit on the row.

  3. WIDS opens edit capabilities for the project. Use the dropdowns to edit. Select Update to save your work.

To make a project active or expired, you must set a date in the appropriate column. The project status is the current project status. Future activation and expiration dates can be selected.

Course Copy Feature

The Copy Course feature fully duplicates a course within a WIDS system.  This feature is located in two places:

  • From the Site/Manage Projects screen.  From this screen you can copy any course in your WIDS system.

  • From the Project Management tab of the course itself.   A Copy Course screen allows you to copy the course you are in.

Courses with a WIP, Pending, Active, or Future status may be copied. The new course copies appear in WIDS with a WIP status. Options to create a unique course name, course number and to retain or omit program links are available in the copy process.

Course copy will duplicate official course information, including course learning plans and PATs, organization core abilities, external standards and general education outcome assigned by the course.  The following items are never copied:  

  1. Project history

  2. Linked core abilities/general education outcomes

  3. Course syllabi

  4. Personal learning plans, PATs

  5. Any documents in the My Documents screen

  6. Any documents in the Project Management Documents screen

Note—once a course is copied, there is no link between the original course and the copy.

How to Make a Course Copy

  1. Click Edit. Search for the course you want to copy.

  2. Click Copy at the end of the project grid. 

  3. WIDS opens a dialogue box where you can change the course number, course title, and subunit location of the copied course. If the course is the child of a parent program, you'll have the option to include or omit parent program links.

  4. Click Copy Course in the dialogue box to complete the process. WIDS begins the copy process and will notify you through WIDS Home Page Notifications when the copy is available. All new course copies will have a WIP status. Locate the copy using advanced search.

Note: If you include parent program links in your course, the course copy must remain in the original parent program and subunit.
